About this word comments to excel
Standard DOCX · file < 50 MB (50000000 bytes); expanded XML < 200 MB (200000000 bytes) · original stays read-only. Legacy DOC, encrypted or macro packages are outside scope. The source DOCX is not modified; unusual Word comment structures may require manual review of the preview.
This tool opens the internal Office Open XML parts of a standard DOCX document and creates a separate Excel workbook. It does not automate Microsoft Word, run a macro, or rewrite the source document. Comment bodies come from word/comments.xml; reply relationships and resolved state are reconstructed from the modern comment-extension records when those parts are present. Comment range markers in the main document, headers, footers, footnotes, and endnotes are used to recover the passage a reviewer selected.
What appears in the Excel workbook
Each comment or reply becomes one row. The workbook includes comment ID, stable thread ID when available, record type, parent comment ID, open/resolved status, author, initials, UTC date, document area, nearest heading, structural paragraph number, referenced text, and comment text. The first row is frozen, filters are enabled, columns are sized for review work, and long text wraps. Replies remain separate rows instead of being flattened into an ambiguous paragraph.
Worked review example
A reviewer selects “The supplier shall respond within 30 days” and comments “Confirm whether this is calendar days.” A second reviewer replies “Contract owner confirmed calendar days,” then resolves the thread.
The export contains a parent row with the selected clause, a reply row pointing to the parent ID, both authors and timestamps, and the resolved state recorded by Word. A filter can then isolate unresolved threads, one reviewer, or one document section.

Why accurate page numbers are not included
DOCX files store document structure, not a universal final page map. Word pagination changes with the Word version, installed fonts, printer metrics, paper size, compatibility settings, fields, and layout engine. A browser XML parser cannot reproduce those conditions reliably. CZOA therefore exports a structural paragraph number, document area, nearest heading, and referenced passage rather than presenting an invented page number as fact. If page coordinates are mandatory, generate them inside the exact desktop Word environment used for the final document.
Modern comments, replies, and resolved status
Older DOCX files may contain only the basic comments part. Modern Word can add commentsExtended, commentsIds, and related identity metadata. When extension records are absent, the tool exports every recoverable comment but labels status unknown instead of assuming open or resolved. A reply without its own document anchor inherits the parent thread's structural location. Assigned tasks, mentions, reactions, cloud-only activity, and content that Microsoft has not stored inside the downloaded DOCX may not be available offline.
Areas covered and known boundaries
- Main-document comments and comments inside tables or text boxes are read from the document XML.
- Headers, footers, footnotes, and endnotes are inspected as separate document areas.
- The nearest heading is inferred from paragraph styles and is clearly labeled structural context, not an official Word coordinate.
- Legacy binary DOC, encrypted packages, password-protected documents, and cloud comments not present in the local file are outside the tool.
- Tracked insertions and deletions are not converted into comments. This exporter handles the review-comment system, not the complete Track Changes revision log.
Excel safety and data integrity
Reviewer text can legitimately begin with an equals sign, plus sign, minus sign, or at sign. A naive CSV exporter can allow spreadsheet software to interpret those values as formulas. CZOA writes a real XLSX workbook and stores every imported field as a typed inline string; it never emits a formula cell from comment content. Excel's 32,767-character cell limit is respected, and a visible truncation marker is added only if one field exceeds the safe cell length. Keep the DOCX as the authoritative source and compare a sample of rows before using an export for regulatory, legal, or contractual decisions.
Troubleshooting an incomplete export
- If no comments appear, confirm the file is DOCX and that comments—not only tracked changes—exist in the downloaded document.
- If resolved state is unknown, open and save the file in a current desktop Word version so the modern comment-extension parts are included.
- If referenced text is blank, the comment may be a point comment, a reply, a deleted anchor, or stored in an unsupported external object.
- If a heading looks unexpected, inspect the document's paragraph styles. Visually bold text is not necessarily a Word heading style.
- If Excel shows shortened text, check the source comment length and the visible truncation marker; the source DOCX is never altered.

Frequently asked questions
Is my Word document uploaded or stored?+
No. DOCX inspection and XLSX creation run in the current browser tab. CZOA does not intentionally upload the selected document or retain it after refresh. Normal webpage and advertising requests still occur without the document bytes.
Does the export include replies and resolved comments?+
Yes when the downloaded DOCX contains the relevant modern Word extension records. Replies receive a parent ID and thread ID; resolved/open status comes from Word's stored done flag. Missing metadata is labeled unknown rather than guessed.
Why is there no exact page number?+
Pagination depends on Word's layout engine, fonts, printer metrics, fields, paper settings, and application version. Browser XML parsing cannot reproduce it reliably, so the export uses document area, structural paragraph, nearest heading, and referenced text.
Does this export Track Changes revisions?+
No. Comments and tracked insertions/deletions are different review systems. This page exports comment threads. It does not claim to be a complete redline or revision-history exporter.
Can a comment execute an Excel formula?+
The generated workbook writes imported values as typed string cells and never creates formula cells from reviewer text. This avoids the common CSV formula-injection problem.
Can I use DOC, DOCM, encrypted, or password-protected files?+
No. Use a standard, unencrypted DOCX copy. Macro, encryption, digital-signature, and legacy binary formats require application-specific handling that a safe browser exporter should not guess.
